How to make certificates in bulk from Excel or CSV

Making certificates one at a time in a design tool means editing the same file over and over. Bulk generation flips that: you design one template, keep the names in a spreadsheet, and the tool produces one certificate per row.

  1. Get a blank certificate as a PNG, JPG or PDF, or use one of the ready backgrounds in the studio. A larger image prints sharper.
  2. Put your list in a spreadsheet: a header row, then one row per certificate. Typical columns are Name, Course, Date and an ID.
  3. Open the certificate studio and add your list in the Data step: load a CSV, or paste the cells straight from Excel or Google Sheets. With a CSV, use UTF-8 so accented and non-English names stay intact.
  4. In the Design step, add text, and put a column name in braces, like {Name}, wherever a value should appear. Drag, resize and rotate on the page, and set the font, size, colour and alignment.
  5. Step through the certificates with the arrows to see each one, then press Check all rows to find empty values or names that do not fit.
  6. In the Export step choose PDF, PNG or JPG, the size, the rows and the file names, then download the result.

Photos and QR codes on each certificate

For ID-style certificates or event badges, add a column with each person's photo file name, for example priya.jpg, and upload the photos. Each certificate picks its own photo by that name.

A QR code element can hold text with column values in it, such as a verify link ending in {ID}, so every certificate carries its own code.

Tips for clean results

  • Look at your longest name first. Use the Find a name box to jump to it, and turn on shrink-to-fit for the name box.
  • Run Check all rows before exporting. Fixing a typo later means exporting again, not editing one file.
  • Export a few rows on their own as a test, using the From row and To row boxes.
  • Save your project file once the layout is right, so you can open it again for the next batch.

Yes. Copy the cells in Excel or Google Sheets and paste them into the data step, or save the sheet as CSV and load that. The first line is read as the column names and every other line becomes one certificate. The studio does not open .xlsx files directly.
There is no fixed cap and no paid tier. Every certificate is drawn on your own device, so a very long list uses a lot of memory. If your device slows down, export in ranges of a few hundred rows at a time using the From row and To row boxes.
Yes. Upload a blank PNG, JPG, WebP or PDF (the first page of a PDF is used). If you have no design, pick one of the four ready backgrounds and change the text, fonts and colours.
Text that takes values from your columns (write {Name} or {Course} inside it), a photo that is matched to each row, a logo or signature image, a QR code with its own content for each row, and lines, boxes and ovals. There are 15 fonts to choose from.
A text box can shrink its text until the name fits, down to a smallest size you set. The "Check all rows" button before you export lists rows where a value is empty, a name still does not fit at the smallest size, or a photo is not found.
PDF, PNG or JPG. PDF can be one file with a page per certificate, or one PDF per person in a ZIP. PNG and JPG come as a ZIP. You can save at half, full or double the size of your template, and export only a range of rows.
From a pattern you write, such as {ID}-{Name}. The default is {#}-{Name}, where {#} is the row number. Characters a file name cannot hold are removed, and if two rows would get the same name the second one gets a number, so nothing is overwritten.
Yes. Add a column that holds each photo's file name (with or without the extension), upload the photos or a whole folder of them, and each certificate picks its photo by that name. The photo can be a square, rounded or a circle.
Yes. Save project downloads a small file with your template, layout and data. Open it later to carry on. Photos are not stored in that file, so upload them again when you reopen it.
No. Your template, spreadsheet and photos are handled in your browser and are not sent to a server. The fonts are the one exception: they load from Google Fonts when the studio opens.
